How to Organise Service Bookings and Customer Deposits

Someone asks whether you are available on Saturday. You say yes. Later, another customer asks for the same time. The first person believes they have booked; you are still waiting for their deposit.

That gap between an enquiry and a confirmed appointment can create confusion for any service business.

Whether you run a salon, provide makeup services or offer another appointment-based service, customers need to understand how to secure a booking. Your records should make that agreement equally clear to you.

Define what makes a booking confirmed

Decide which information and actions you need before accepting an appointment. Depending on your service, that could include the service selected, appointment date, location, agreed price and a confirmed deposit.

Explain the process before asking for payment. Avoid leaving the customer to guess whether an availability enquiry reserves their preferred time.

For example: “Your appointment is confirmed after we agree the service and time and I confirm receipt of your deposit.” Use wording that reflects how your business actually operates.

Keep the service details with the appointment

Record more than the customer’s name and date. Include the service requested, agreed time, expected duration, location where relevant and any preparation instructions already discussed.

A makeup appointment for one person and a group booking may require very different amounts of time. A salon client’s requested style may also affect the appointment length.

Vendaku’s booking records let you organise appointment details alongside customer information and balances. Keep the record current as you agree changes.

Track deposits and balances separately

Suppose a service costs ₦30,000 and the customer pays a confirmed ₦10,000 deposit. Keep the total, amount received and ₦20,000 balance visible in the booking record.

Also agree when the remaining balance is due. That conversation is easier before the appointment than during a rushed handover afterwards.

Check your bank or payment-provider records before recording a payment as received. Vendaku records the payments you confirm; it does not independently verify transfers between you and your customer.

Explain changes and cancellations upfront

Tell customers how to request a different date, what happens if they arrive late and how your cancellation and deposit terms work. Write terms that fit your business and applicable requirements, then share them before the booking is confirmed.

If you agree to move an appointment, update its record immediately. Confirm the new arrangement directly with the customer as well.

Review tomorrow before today ends

Set aside a few minutes to check the next day’s appointments. Look for missing details, outstanding balances and preparation you need to complete.

Send any reminders directly through your chosen communication channel. A booking record helps you prepare, but it is still your responsibility to communicate the appointment details.

When every appointment has a clear status, an agreed service and an accurate balance, you have a more reliable starting point for the working day.
