A Practical Custom Order Checklist for Fashion Designers and Makers

The customer loves the reference photo. You understand the style. Production begins—and then a question comes up about the fabric, fit or delivery date.

Custom work involves decisions that a standard product listing may not cover. A written brief gives those decisions a home before you commit time and materials.

Whether you make clothing, cakes, furniture or personalised gifts, use a checklist that reflects the work you actually deliver.

Record what the customer wants

Start with the item, quantity, intended use and requested date. Capture the details that affect production: measurements, dimensions, material, colour, finish or personalisation.

For a fashion order, specify who supplies the fabric, which measurements have been provided and whether a fitting is part of the arrangement. A reference image can support the brief, but discuss the details rather than assuming every feature is included.

Confirm the summary directly with the customer before production begins.

Agree the scope and price together

Explain what the quoted amount includes and identify any optional extras. If a change could affect the price or schedule, explain how you will handle it.

For example, a customer may request additional embroidery after approving a simpler design. Agree the revised specification, additional charge and delivery expectation before carrying out the extra work.

Keep the latest agreement in the order record so you do not have to choose between conflicting versions of a chat.

Check your production capacity

Work backwards from the required date. Allow time for sourcing, making, checks, any agreed fitting or approval, and handover.

Compare that work with your existing commitments before confirming availability. If the timeline is too tight, discuss an alternative date or scope while the customer still has a choice.

Vendaku helps you keep custom order details, due dates and balances organised. Your own production planning determines what you can promise.

Make the payment stages clear

Record the agreed total, any confirmed deposit and the remaining balance. Explain when each payment is due and what needs to happen before you begin or hand over the work.

Check your bank or payment-provider records before marking money as received. Update the order when a payment is confirmed so that the balance stays useful throughout production.

Close the order carefully

Before handover, compare the finished work with the agreed specification. Confirm the delivery or collection arrangement and check the outstanding balance against your agreement.

Keep relevant changes and completion details with the customer’s order history. When the customer returns, that record can help you understand the previous job without relying entirely on memory.

The best checklist is one you can use consistently. Start with the decisions that most often cause uncertainty, then refine it as you learn from real orders.
